Student Dismissal Policy

Overview

This policy outlines the procedures for dismissing children from Babington centres. Due to differing facility arrangements at each centre, two distinct procedures are implemented. For the safety of all children, it is essential that parents understand the applicable procedure. Please consult your centre to confirm which procedure applies to your child.

Student Dismissal General Policy

Registered Authorised Person(s) (RAP)

  1. RAPs retain ultimate authority over their child's enrolment, including programme termination, refund arrangements, and designation of authorised collection contacts.

  2. Only RAPs may collect children without a child collection pass. RAPs collecting children without the QR code must complete the required form and present their HKID for verification and copying.

  3. Full Hong Kong Identity Document numbers must be registered to establish RAP status. Partial HKID numbers are not acceptable.

The Child Collection Pass (QR Code)

  1. Each child receives a child collection pass with a QR code that serves as authorisation for collection or release.

  2. Any person holding a valid child collection pass or QR code in any format is authorised to collect or release the child.

  3. Staff will not verify the QR code holder's identity. Upon successful scanning, the child will be released immediately.

Period of Responsibility

  1. Babington is responsible for children only during the class times specified on the receipt.

  2. Babington accepts no responsibility or liability for any child prior to the scheduled class start time or after the scheduled class end time.

  3. A designated guardian must be present immediately outside the centre at least 10 minutes before class ends to collect the child.

Collecting Children Without the QR Code

  1. Children will not be released without presentation of a valid QR code.

  2. If a person without the QR code attempts to collect a child, Babington will contact the RAP for approval.

  3. Upon RAP approval, the person must complete the required form and present their HKID for verification and copying.

  4. Without both QR code presentation and RAP approval, the child will not be released.

  5. Parents may verify the registered RAP status for their child by contacting the centre.

Dismissal Procedures

  1. Each centre operates under either Procedure 1 or Procedure 2.

  2. Parents must confirm the applicable procedure with their centre.

  3. Detailed explanations of both procedures are provided in the sections below.

Changes to Terms and Conditions

  1. Babington reserves the right to amend these terms and conditions at any time without notice.

  2. The current version published on the company website shall always constitute the authoritative version.

  3. Babington reserves the right to make final determinations in any disputes regarding these policies.

Procedure 1: Collecting Your Child

Concept

The QR code on the child collection pass serves as the sole means of authorisation to collect your child.

The Procedure

  1. Children are dismissed one at a time at the conclusion of each class.

  2. Parents must queue to scan their QR code.

  3. Upon successful scanning, the child is released immediately. Staff will not verify the cardholder's identity.

  4. If the QR code scan is unsuccessful or the code has been forgotten, refer to the Frequently Asked Questions section.

Procedure 2: Releasing Your Child to the Public

Concept

Scanning the QR code immediately authorises Babington to release your child from the premises to the public area without staff supervision at the end of class.

The Procedure

  1. Parents must scan their QR code 10 minutes before class ends to authorise release of the child without supervision for that class only. Scanning is required for every class.

  2. After scanning, parents must remain immediately outside the centre until collection is completed.

  3. Upon class completion, all children with scanned QR codes will be released to the public area.

  4. Babington does not hand children to individuals for identity verification. The cardholder is solely responsible for remaining present to collect the child.

  5. If the QR code scan is unsuccessful or forgotten, refer to the Student Dismissal General Policy.

  6. If no QR code is scanned for a child, the child will remain at the centre under direct adult supervision until collection is completed.

Frequently Asked Questions

What if I lose or wish to change my QR code?

  1. The RAP must contact the centre immediately if the QR code is lost or requires replacement.

  2. Babington will suspend the QR code immediately upon the RAP's request.

  3. The RAP must complete and sign the 'New Pass Request Form' and submit it via email or in person.

  4. A $100 administrative fee will be charged to the account.

  5. A replacement card with a new QR code will be issued to the RAP only.

What if I forget the QR code or the scan is unsuccessful?

  1. The child will not be released without a valid QR code.

  2. Babington will contact the RAP for approval.

  3. For example: if a father who is not a RAP attempts to collect the child, release will not be authorised without RAP approval.

  4. Parents may verify the registered RAP status for their child by contacting the centre.

  5. Upon RAP approval, the person collecting the child must complete the required form and present their HKID for verification and copying.
